01About this policy

ODC AXIS LLP (“ODC”, “we”, “us” or “our”) is an office design, fit-out and project management firm based in Bengaluru, India. This policy explains how we collect, use, share and protect personal data when you visit officedesigncompany.com, send us an enquiry, apply for a job, or deal with us as a client, prospective client, consultant or supplier.

We process personal data in accordance with the Digital Personal Data Protection Act, 2023 (the “DPDP Act”), the Information Technology Act, 2000 and the rules made under them. For the purposes of the DPDP Act, ODC AXIS LLP is the Data Fiduciary for the personal data described in this policy.

By using this website or sharing personal data with us, you acknowledge that you have read and understood this policy.

02Information we collect

Information you give us

  • Project enquiries: your name, company, email address, the service you're interested in, approximate office size and any details you share about your project, such as location, timelines and budget.
  • Conversations and meetings: contact details, job title and the information you share by email, phone, WhatsApp, video call or in person — for example floor plans, site addresses, headcount and requirements.
  • Job applications: your CV, portfolio, work history, education, current and expected salary, notice period, references and anything else you choose to send us.
  • Clients, consultants and suppliers: business contact details, and the information needed to contract and pay, such as billing address, GSTIN, PAN and bank details.

Information collected automatically

When you visit the website, our hosting and analytics providers automatically record technical information such as your IP address, browser and device type, the pages you view, the site that referred you and the date and time of your visit.

Information from others

We may receive your details from people who refer you to us — for example brokers, architects, project management consultants, landlords or developers — and from recruitment platforms and publicly available professional sources such as company websites and LinkedIn.

We do not ask for sensitive personal data such as health or biometric information, passwords or card details. Please do not send it to us.

03How we use your information

We use personal data to:

  • respond to your enquiry, arrange site visits and prepare proposals, estimates and quotations;
  • design, build and manage your project, and keep you updated as it progresses;
  • manage contracts, invoicing, payments, accounting and tax compliance;

05Who we share it with

We do not sell, rent or trade your personal data. We share it only where needed, with:

  • Service providers who help us run the website and our business — website hosting, form processing and email delivery, analytics, cloud storage and productivity tools, and accounting software. They may use your data only to provide their services to us.
  • Project partners — contractors, vendors, consultants, building management and landlords — to the extent needed to deliver your project.
  • Professional advisers such as lawyers, chartered accountants and auditors.
  • Government bodies, regulators, courts or law enforcement, when required by law or to protect our rights.
  • A buyer or successor, if our business is reorganised, merged or sold, subject to this policy.

06Transfers outside India

Some of our service providers store or process data on servers outside India. Where this happens, we take reasonable steps to make sure your data is handled securely and in line with this policy, and we do not transfer data to any country restricted by the Government of India under the DPDP Act.

07Cookies and analytics

Cookies are small files stored on your device. This website does not rely on cookies to work. We may use analytics tools to understand, in aggregate, how visitors use the site so we can improve it; depending on the tool, these may set analytics cookies or work without them.

We do not use advertising or cross-site tracking cookies. You can block or delete cookies at any time in your browser settings, and the website will continue to work.

08How long we keep it

  • Enquiries that don't lead to a project: up to 24 months after our last contact.
  • Client, project and supplier records: for the duration of the engagement and afterwards for as long as the law requires — for example accounting and tax records, which are typically kept for up to eight years.
  • Job applications: up to 12 months after the role is filled, so we can contact you about future openings, unless you ask us to delete them sooner. If you join us, your application becomes part of your employee record.
  • Website logs and analytics: for the limited periods set by our providers.

When we no longer need your data, we delete it or anonymise it.

09How we protect it

We follow reasonable security practices and procedures, including encrypted connections (HTTPS) on this website, access limited to people who need it, secure cloud tools with access controls, and confidentiality obligations for our team and service providers. No method of transmission or storage is completely secure, but we work to protect your data and review our safeguards regularly. If a personal data breach occurs, we will notify affected people and the Data Protection Board of India as required by law.
